Tri-County Swimming Pool Association

MINUTES OF MEETING
  
JULY 14, 2005

The meeting was opened by the President, John Mahon, at 7:40 p.m.

 Minutes:  The minutes were approved and John will make sure they are posted to the web.

New Reps:  Eric Peterson will replace Art Kollmeier from Greenwood Park.

  All reps are reminded to pick up their packets.

 Treasurer’s Report:  Paul Patterson reports as of 7/13/05, there is a balance of $7,746.89 in the account.  He reminds all to bring a blank check to the Woodcrest meeting on July 28th.  Splash fees will be doubled this year to bring in extra revenue of $11,000.  We know this will place a burden on some clubs and suggest charging the swimmers the splash fees.  Paul explains the logistics of running the tri county meet in 2005.  Since G.C.I.T. is not available, we put out 38 offers and received only 1 bid from Old Orchard to hold the meet.  Sunnybrook, however, had already done work on this since last August.  The agreement is as follows: 

            Tri County will be responsible for expenses involved in running the meet, such as

            bleachers, Colorado system, ground work, etc.  Old Orchard will keep all receipts

            and documentation to audit.  They will try to share expenses and cut down on

            costs.  Old Orchard has requested and received a commitment to receive $20,000

            from tri county.  Breakdown is $15,000 from tri county and $5,000 from food,

            50/50 and advertising.  Any profit in excess of this will be split between Old      

            Orchard and tri county.  Sunnybrook will continue with the t shirts and whatever

            ads they have received.  They will also man the gate and take care of the printing                       and delivery of programs.  Tri County will pay for the printing.  Sunnybrook and

            Old Orchard have met and all went well.  All admissions go to tri county.  After

            comparing costs, we need additional revenue which will be the increase in

            splash fees.  We will double the fees now and if other sources give more revenue,

            it will help to offset our expenses.  Our goal is to get refunds on splash fees.

 Swimming:  David Katz states in regard to meet sheets:  We need legible and complete copies.  The home team is responsible for mailing to future opponents.  Must be mailed by Monday at the latest.  Names on meet sheets – use first initial and complete last name.  If there are siblings, use first name.  Information on cards must match sheets.

Relays – names on cards must match names on swimmer entry card.  In regard to medley relay, swimmers must swim in the correct order.  This does not apply to free relays.

How is this happening?

Joe Crick states the scoring table has no authority on the deck.  If this occurs, a deck official should bring this to the referee and then it can be addressed.  The referee needs to know about the meet at all levels.

D.Q.’s – Protocol is that the judge should inform the swimmer and/or coach while meet is in progress.

Problems which occur are no reason for the D.Q. on the card, no signature on the card, card and sheets not matching.  Make sure all workers at the scoring table are aware of the rules.  All officials should read the rules.  If there is a problem, it is better to stop the meet, address the problem and resolve it.  Stroke and turn judges need to raise their hand until eye contact is made with the referee.  In the meeting before the start of the meet, referee needs to explain the rules and enforce them fairly.  Rules should be enforced uniformly.

Make sure D.Q. is on the right card.  On the meet sheet, just put D.Q. (This is information the other team needs.)

Kathy Fitzpatrick (Tenby Chase) states a referee asked for copies of meet sheets and made additional copies.  This is illegal.  The referee and starter should only have blank sheets.

David reminds all that swimmers disqualify themselves.  All stroke and turn officials should wear white and be in the proper position on the deck with no other distractions such as cell phones, timers or cameras.

 Session Times:  Saturday   12 and under   6:45 a.m. warm up    8:00 a.m. start

                                               13 and over     1:00 p.m. warm up    2:15 p.m. start

           

                            Sunday    All   9:00 a.m. warm up    10:15 a.m. speeches  10:20 a.m.

                                                    Parade   11:00 meet begins

There will be 3 heats of all – bonus, consolation and finals.  Relays are all timed finals.

All 8 and unders will swim.    9 & 10 and 11 & 12  - top 30 only

                                                 13 to   18  - top 24

Final warm up schedule will be posted on the web.

For the afternoon session on Saturday, we are asking Cherry Hill clubs to allow warm ups at their pools.  Let David Katz know a.s.a.p.  Still looking for another warm up plan.

Timers will work the entire session.  Provide relief within your club

  Stroke and turn is also entire session.  Relief is built in.

 Computer:  Joe Crick advises read your 4th and 5th instructions carefully.  After the 4th meet, figure out double qualifiers.  Bring the relay cards to the seeding meeting.  Send to Domenick relay form and the diskette with tri county entries.  Bring a friend with you to the seeding meeting to check qualifiers.  Make sure you send in any relays that are not swimming.

B Meets – Sue from Haddon Glen will do the B meets next year.  Good Luck!

 Tri County Meet – Gerry Wixted and Greg Shetler met with Old Orchard and all is well.

Karen Shore states OO is very excited to be the host.  She states they have all the right people in the right places and tri county will be perfect.  They are looking for ads for the program and also banner ads.  Ken Shore will be the meet director.  Traffic will be no problem and there will be plenty of parking.  Any comments e-mail Ken at shore31@comcast.net.  Tents can be set up any time on Friday.
